3. Minimised data collection
Ruisi Real Estate takes reasonable steps to avoid collecting unnecessary, excessive or intrusive personal information.
We will not request personal information that is not reasonably required for the relevant purpose. For example, we will not seek unnecessary details such as irrelevant physical descriptions, relationship status, unnecessary social media history or excessive financial documents where they are not reasonably required.
For tenancy applications, we aim to collect only the information reasonably required to assess the application and comply with legal and regulatory obligations.

5. In-person collection at open homes and inspections
Ruisi Real Estate may collect personal information from people attending open homes, private inspections and auctions.
This may include your name, phone number, email address, property interest, buying or leasing requirements and inspection feedback.
We collect this information for purposes including property security, vendor and landlord reporting, buyer or tenant follow-up, campaign management, compliance obligations, safety, and to assist with real estate services.
Where paper registers are used, we take reasonable steps to keep those registers secure and to prevent other attendees from viewing, photographing or accessing the personal information of others.
Where digital registration systems are used, information is stored within secure systems used by Ruisi Real Estate or its authorised service providers.
If you do not provide the information reasonably required to attend an inspection, we may be unable to provide access to the property.
6. Why do we collect, hold, use and disclose personal information?
We collect, hold, use and disclose personal information for purposes including:
- providing real estate sales, leasing and property management services;

Ruisi Real Estate does not sell your personal information to other organisations.
9. Tenant application information
Ruisi Real Estate recognises that rental application information can be sensitive and must be handled carefully.
We only collect information reasonably required to assess a rental application, verify identity, assess suitability, contact referees, meet legal obligations and manage tenancy-related processes.
Information provided by unsuccessful rental applicants will not be kept longer than reasonably necessary. Where the information is no longer required, we will take reasonable steps to securely destroy or permanently de-identify it.
10. Automated decision-making and AI tools
Ruisi Real Estate does not currently use automated decision-making tools to make final decisions about individuals without human involvement.
This means we do not currently use AI tools to automatically approve or reject tenancy applications, automatically decide rent increases, or make final decisions about maintenance prioritisation without human review.
If Ruisi Real Estate begins using automated decision-making tools in the future, we will update this Privacy Policy and take reasonable steps to inform affected individuals about how those tools are used.
11. AI-generated or digitally altered property images
Ruisi Real Estate is committed to presenting property advertising in a clear and accurate manner.
Where AI-generated, digitally altered or virtually enhanced images are used in property advertising, Ruisi Real Estate will take reasonable steps to ensure that such images are not misleading and that any required disclosures are made in accordance with applicable law and platform requirements.
